Job Description
ABC Supply has an extensive portfolio of leased and owned properties and the Lease Coordinator’s role is to ensure that the Company’s real estate contracts conform to ABC’s standards and are accurate. The main responsibilities include lease/amendment review, abstracting leases, contract management, reporting, drafting amendments, monthly rent requests, and document retention. Additionally, the Lease Coordinator works with the Real Estate Asset Managers to coordinate on items such as renewals, commencement letters, and amendments.
Areas of Responsibility:
- Lease Process-oversight and regulator of lease project process flow
- Lease review – reviewing all draft lease contracts for compliance with company standards and accuracy. This will involve coordination with assigned legal resources. Ensures the final lease package is complete and includes all required exhibits and necessary paperwork.
- Point of contact for contract execution.
- Draft renewals, option letters, and commencement letters
- Document retention – electronic storage of approved routers, executed documents, and other RE-stored documents
- Real Property Lease Abstracting for a specific geographic area
- Review and abstract lease information and clauses for use by Real Estate Department and Corporate Accounting.
- Enter and update property records on Visual Lease for both owned and leased property
- Complete annual property review/reconciliations of landlord billings and company payments.
- Actively support Asset Managers by running reports and drafting communications in the Company standard format.
- Review and process for payment of monthly property invoices
Key Qualifications for consideration:
- A minimum of 3-5 years of experience in commercial real estate is desirable.
- Ability to work with property leases with an understanding of legal clauses.
- Ability to proofread typed material for contextual, grammatical, typographical, mathematical, or spelling errors.
- Competent in drafting lease contracts to support the technical, operational, and application needs from end-to- to end.
- Ability to remain professional and courteous during stressful circumstances.
- Excellent verbal, written, and interpersonal communication skills.
- Proficient with Microsoft Office Suite, including advanced Excel.
- A team player, able to work collaboratively and build strong relationships across the organization.
